Fuel Card System
We developed this system for Great Gas forecourt fuel distributor. Great Gas issue cards to their customers that can be used in any forecourt that accepts DCI cards. DCI send Great Gas a simple file with the card numbers and the quantity, date and type of fuel supplied. The application we deveoloped for Great Gas calculates the invoices and emails the details to the customer and raises direct debits.
Customer Card Details
Grear Gas input the customer and card details into the application. Each customer can have a number of cards on the one account. Different price and collection arrangements can be recorded for each customer.
Price Updates - Sent by SMS to Card Holders
Prices of fuel can be changed as often as necessary (generally twice per week). These are recorded in the application and generate SMS messages for transmission to all card holders with the latest prices that they will be charged.
Validation of DCI File
The DCI file is checked to ensure that the card numbers and forecour details are correct (different pricing arrangements apply to forecourts that are not part of the Great Gas or affiliated groups).
Pricing of Transactions
The transactions are priced according to the date of the transaction, the type of purchase, the type of forecourt and the customer's personal agreement.
Generating Invoices
Invoices are then generated showing the details of each transaction and summarised according to the customer's requirements. These are automatically printed and emailed as a PDF to the client.
Direct Debits
The application generates a direct debit file for transmission to the bank. This uses the bank account details held for each customer and the collection date is determined by the terms agreed for each customer.
Quickbooks Integration
The sales transactoin details are transferred to Quickbooks for accounting purposes.
